How to Create an Invoice

1

Add Your Business Details

Enter your business name, email, and address, and upload your logo if you have one. This information appears at the top of the invoice and tells the client exactly who to pay. Your logo is stored only in your browser, never uploaded to a server.

2

Enter the Client and Invoice Details

Fill in who you are billing under Bill To, then set the invoice number, issue date, and due date. The tool suggests a starting invoice number like INV-0001, and pre-fills the due date 14 days out. Pick your currency from the selector at the top.

3

Add Your Line Items

For each product or service, type a description, quantity, and unit price. The line amount is calculated automatically as quantity times unit price, and the subtotal updates live as you type. Add as many rows as you need.

4

Apply Tax and Any Discount

Optionally add a tax or VAT percentage and a discount, either as a percentage or a fixed amount. The discount is taken off the subtotal first, then tax is charged on the discounted amount, and the total is calculated for you. Add payment terms in the notes.

5

Download or Print Your Invoice

Check the live preview on the right, then click Download / Print PDF. Your browser opens the print dialog showing only the clean invoice document. Choose Save as PDF to keep a copy, then email it to your client.

A Practical Guide to Invoicing

How to Create a Professional Invoice

A professional invoice does two jobs at once: it tells your client exactly what they owe and it makes your business look organized and trustworthy. Start with your details at the top so there is no confusion about who is billing them, and add your logo if you have one to reinforce your brand. List each product or service on its own line with a short, specific description, the quantity, and the unit price. Clarity here prevents disputes later. Show the subtotal, any tax, any discount, and a bold final total so the amount due is impossible to miss. Finish with a due date and clear instructions on how to pay. When your invoice is easy to read and leaves no open questions, clients tend to pay it sooner and query it less.

What Every Invoice Must Include

Whatever your industry, a complete invoice contains the same core elements. It needs the word “Invoice” so it is not mistaken for a quote or receipt, your business name and contact details, and the client’s name and billing address. It needs a unique invoice number, an issue date, and a payment due date. The body should itemize the work with quantities and unit prices, and the totals section should show the subtotal, any tax or VAT as a separate line, any discount, and the grand total. Adding your payment terms and the exact method of payment, such as bank details or a payment link, removes the last bit of friction. If you are reconciling paper receipts or expenses alongside your invoices, our receipt scanner can pull the key details out of a photo so your records stay complete.

Invoice Numbering Best Practices

A reliable numbering system keeps your books clean and makes tax time far less stressful. The golden rules are simple: every invoice gets a unique number, the sequence never has gaps, and you never reuse an old number. Most small businesses use a prefix followed by a zero-padded counter, like INV-0001 and INV-0002, which sorts neatly and looks professional. Others encode the year, such as 2026-001, so invoices group naturally by period. If you work with several clients, you can add a short client code, but keep the overall pattern consistent. This tool suggests a starting number for you; once you pick a format, stick with it for every invoice you send. Consistent numbering makes it obvious if an invoice is missing and gives auditors a clean trail to follow.

Should You Charge Tax or VAT?

Whether you add tax to an invoice depends on where you are based, what you sell, and whether you are registered for sales tax or VAT. In many countries, businesses below a revenue threshold are not required to register or charge tax, while registered businesses must apply the correct rate and display it as a separate line so the client can see exactly what is tax and what is your fee. Rates and rules differ widely between countries and even between states or provinces, and some goods and services are exempt or zero-rated. Because getting this wrong can create liabilities, confirm your specific obligation with your local tax authority or an accountant before you invoice. When you do need to charge it, add the percentage in the tax field and the tool applies it to the amount after any discount. How to Get Paid Faster

The gap between finishing work and receiving payment is often self-inflicted. Send the invoice the moment the work is done rather than waiting for the end of the month, and set a specific, short due date instead of vague terms like “on receipt.” Spell out exactly how to pay, including your bank details or a payment link, so the client never has to ask. Itemize the work clearly to avoid back-and-forth, and send a polite reminder a few days before the due date and again if it passes. If you bill international clients, quoting in a currency they understand reduces hesitation; you can check conversions with our currency converter. The biggest lever, though, is simply keeping track of which invoices are outstanding so nothing slips through the cracks. Creating the invoice is only half the job; knowing who has actually paid is what protects your cash flow.

Fill in your business details, the client you are billing, and your line items in the form above. The tool calculates the amounts, subtotal, tax, and total automatically and shows a live preview. A professional invoice needs your business name and contact details, the client name and address, a unique invoice number, the issue date and payment due date, an itemized list of goods or services with quantities and unit prices, the subtotal, any tax or VAT, any discount, and the final total. Adding clear payment terms and instructions on how to pay helps you get paid faster.

Use a sequential system so every invoice has a unique number and none are skipped. A common format is a prefix plus a padded number, such as INV-0001, INV-0002, and so on. Some businesses add the year, like 2026-001. The key rules are to never reuse a number, never leave gaps, and keep the sequence consistent so your records and any tax filing stay easy to reconcile.

It depends on where you operate, what you sell, and whether you are registered for sales tax or VAT. Many freelancers under a registration threshold do not charge tax, while registered businesses must add it at the correct rate and show it as a separate line. Tax rules vary by country and state, so confirm your obligation with your local tax authority or an accountant. The tool lets you add a tax percentage when you need one and leave it off when you do not.

Click Download / Print PDF and choose Save as PDF in the print dialog to save the invoice to your device. Then attach that PDF to an email to your client, or share it through your usual messaging channel. Keeping a copy of every invoice you send makes it far easier to track which ones have been paid.

Send the invoice promptly, set a clear and short due date, and state exactly how to pay including your bank or payment details. Number your invoices consistently, itemize the work so there are no questions, and follow up politely a few days before the due date. Offering an easy payment method and a small early-payment note can also shorten the wait.
